Why Every Restaurant Staff Member Needs Their Own PIN

Shared logins hide mistakes. Personal PINs and roles show who did what, and keep each person in the right tools.

The problem with one shared login

In many restaurants, everyone uses the same login on the POS. It feels faster. But when something goes wrong, nobody knows who did it.

Who cancelled that order? Who gave that discount? Who marked the order as paid? With a shared login, there is no answer.

A PIN for each person

A personal PIN is a short number that only one person knows. Each cashier, waiter and cook signs in with their own PIN.

Now every action has a name. When an order is cancelled or a payment is recorded, you can see who did it.

Roles keep people in the right tools

A role decides what a person can do. For example:

  • A cashier takes orders and records payments.
  • A cook sees the kitchen screen.
  • A manager can do more, such as close the day.

Each person also sees only the branches you give them. A cashier in one branch does not see another branch's orders.

Good habits for your team

  • Never share a PIN, even with a friend at work.
  • Remove a person's access when they leave.
  • Give new staff the smallest role they need.
  • Check who did what when numbers don't match.

How it works in DashDine

In DashDine HQ, open Staff to add your team. Give each person a role and their branches. Staff then sign in to the POS, the waiter app and the kitchen screen with their PIN.

It takes a few minutes to set up, and it saves hours when you need answers.

What to do when numbers don't match

If the cash is short at closing, start with the orders, not with blame:

  1. Open the Z-report and look at cancelled and voided orders.
  2. Check which orders were finished but are still unpaid.
  3. See who recorded each payment and each cancellation.
  4. Talk to the person calmly. Most differences are honest mistakes.

With personal PINs, this takes minutes. With a shared login, it can take a whole evening.

A note on trust

Personal PINs are not about distrust. They protect honest staff too. When something goes wrong, the record shows who was not involved. Most teams like it once they see that.

Roles for a small team

Here is a simple setup for a restaurant with one branch and eight staff:

  • Owner: sees everything, in every branch.
  • Manager: runs the branch, opens and closes the day, and checks reports.
  • Cashiers: take counter orders and record payments.
  • Waiters: take table orders in the waiter app and serve.
  • Kitchen: sees the kitchen screen and marks orders ready.

Start small. You can always give someone more access later.
