Stop Selling What You Don’t Have: Sold-Out Limits per Service

Nothing upsets a guest more than an order you can’t make. Limits per service mark a dish sold out at the right moment.

The worst call to make

A guest orders and pays. Ten minutes later, the kitchen says the dish is finished. Now someone must go back, apologize and offer something else.

This happens most with dishes you make in small batches, like a daily special or a dessert.

Two ways to stop it

Mark it sold out. When a dish runs out, mark it sold out once. Every ordering option for that branch stops offering it: the counter, QR, the kiosk and online.

Set a limit per service. If you make 20 portions of a special, set the limit to 20. When 20 are sold, the dish shows sold out everywhere, on its own.

Why limits are better for busy days

On a busy night, nobody has time to watch the stock. A limit does it for you. The last portion is sold, and the dish disappears from every screen at once.

Good habits

  • Set limits for daily specials and small-batch dishes.
  • Check limits before you open service.
  • Restock the dish when you make more. It comes back on every screen.
  • Tell your team which dishes have limits today.

Less waste, happier guests

When you only sell what you have, guests are not disappointed. And when you plan portions with limits, you waste less food at the end of the day.

Which dishes need a limit?

Start with the dishes that cause the most trouble when they run out:

  • Daily specials made in one batch
  • Desserts made in the morning
  • Dishes with a fresh ingredient that arrives once a day
  • Weekend-only dishes

Most of your menu will never need a limit. Keep it simple.

Questions owners ask

Does a sold-out dish disappear from the menu? Guests see it as sold out and cannot order it. It comes back when you restock it.

Does the limit reset by itself? The limit belongs to a service. Check your limits each time you open service, and adjust them for busy or quiet days.

Can staff still sell it? When a dish is sold out, every ordering option for that branch stops offering it, including the counter.

A quick example

A café bakes 12 pistachio cakes every morning. The owner sets a limit of 12 for the cake.

At lunch, the counter sells 7. Guests order 3 more by QR and 2 online. That makes 12. The cake now shows sold out on the counter POS, the table QR menu, the kiosk and the online menu, all at the same moment.

Nobody had to count. Nobody had to call the kitchen. And no guest paid for a cake that did not exist.
