How a Tablet POS Works in a Café

Follow a coffee order from the counter or table to the barista queue, payment and handoff using a staff tablet.

A tablet POS lets a cashier or waiter take the order on a standard browser-based tablet. At the counter, it can stay near the payment terminal. In a seated café, a waiter can carry it to the table. This is different from a fixed table tablet that customers use themselves.

Coffee choices reach the barista clearly

The staff member selects the drink, size, milk, temperature and extras from the menu. Required choices stop an incomplete order before it reaches production. The kitchen or barista screen receives the complete ticket with the order number and notes, reducing the need to read handwriting or ask the counter again.

Payment and preparation remain separate

The cashier records supported cash or card collection on the order. The barista changes preparation status independently. That separation matters when a drink is prepared before payment, when an order is paid online, or when an authorized team member must correct a collection record.

Set up a practical café station

Use a tablet with a stable stand or protective case, reliable power and strong Wi-Fi. Test the ten drinks with the most options. Confirm receipt and barista printing, if used, and keep a clear handoff name or order-number process. Run a busy-period test before replacing the old workflow.

Connect the other café channels

Design the café flow before choosing the device

A tablet is only the screen. Decide where the guest orders, where payment happens, who prepares the drink and how it is handed off. A counter café may keep one tablet beside the payment terminal. A seated café may give waiters portable tablets and keep another station near the bar.

Model drinks as choices, not notes

Sizes, hot or iced preparation, milk type, shots, syrups and temperature should be structured modifiers when they affect price or production. Required choices prevent an incomplete latte reaching the bar. Free text should handle exceptions, not replace everyday choices. Test the longest drink and largest valid combination on the tablet, kitchen screen and ticket.

Plan queue and payment ownership

A café may collect before preparation, at the table or at pickup. Record the method without using drink status as proof of payment. Decide who may correct a method, void an order or reopen a ticket. During a rush, one person should own the incoming queue while baristas focus on preparation.

Use one handoff identity

Choose number, name, table or buzzer and show the same identity on POS, kitchen and ready queue. Avoid asking staff to translate between number systems. Preserve a table assignment when another waiter helps or part of the order moves to another station.

Rehearse the rush

Create ten mixed orders within minutes: hot and iced drinks, food, alternative milk, a sold-out pastry, a correction and a delayed item. Confirm every choice reaches the bar, the cashier can answer status questions and the team does not release half an order. Check battery, charger, Wi-Fi, paper and spare-device login.
